General Syncrofy

Replay a document, batch of documents, or a file in Syncrofy. Syncrofy now allows you to replay a document, a batch of documents, or a file. In the past, Syncrofy was a read-only solution. Now for the first time, you can send data from Syncrofy to internal teams or your trading partners. Upon replay, Syncrofy uploads the replayed item onto an SFTP server. From there, you have the ability to download or share it with your internal teams or trading partners.

**PLEASE NOTE – Replay requires some manual set up and an SFTP server to be created.  Users also require special permission to leverage Replay functionality.  Replay functionality is available to full cloud Syncrofy customers only. Contact your Customer Success Manager to discuss how to take advantage of this feature. **

XML Parsing Capability. Syncrofy now has the ability to parse XML data. It can now add data to the original EDI document by uploading the XML—allowing you to upload the delta in data through an XML file and further enhance your EDI document. The XML data is then available to download to a CSV report so you can share it with your internal teams and trading partners.

**PLEASE NOTE- XML Parsing functionality is available to full cloud Syncrofy customers only.  Contact your CSM to discuss how to take advantage of this feature. **

 What's New?

General Syncrofy

  • Introducing Purchase Order Requested Pickup Date. You can now filter Purchase Orders by the 'Requested Pickup' date using the documents filters - allowing you to see the exact date by including the requested pickup date column in your documents list view. When you open a Purchase Order document, if a Request Pickup date exists, it will show up under the important dates' column. This new field allows users to track their POs in the same way others use the Expected Delivery or Expected Ship dates to ensure you are meeting expected deadlines.
  • Grocery Product PO Exception Creation! Wish you could be alerted if your ASN was processed after the Grocery Product Purchase Order expected delivery date? Well, now you can! Syncrofy allows you to create SLA exception rules for the Grocery Product Purchase Orders (EDI 875) documents. The SLA rules enable or your trading partners to be alerted when certain circumstances are met to ensure you can resolve any issues before they become a bigger problem.
  • Searching for Contract Numbers. The Product Transfer Account Adjustment (EDI 844) contains a search bar to help quickly find a specific line item. We've now enhanced the functionality to allow you to search for contract numbers. This is very helpful as many of these documents contain hundreds of line items which make it challenging to sort and find a specific contract. When you open the document, type in the contract number in the search bar above the table and see the contract show up in a matter of seconds.
  • No More Squinting on Dashboards! Syncrofy facilitates the creation of incredibly useful dashboards, and in each dashboard you can add many relevant tables and charts to monitor and track KPIs and identify patterns. However, the more widgets you add, the more cramped a dashboard may look. Syncrofy now allows you to expand any individual widgets by clicking on the exapansion icon on the top right of the widget within a dashboard to better view the details. Once you are done with seeing the zoomed-in data, you can then shrink the widget by clicking on the shrink icon on the top right of the widget bringing back the dashboard to its original state.

Syncrofy for Supply Chain Only

  • Visibility into Product Description and Identifiers. Syncrofy's mission is to make your supply chain and EDI data more business friendly. With this in mind, we now include your line-item descriptions and identifiers in your order information tab. To access this information, simply search for an order and open the Order Details view; then navigate into the line items table in the "Order Information" tab to see the description column appear next to the product ID. Additionally, you will find the product identifiers information when you expand any of the line items for each of the products in your order.
  • Order Status Document Enhancement. The Orders Details view now includes links to the Purchase Order Acknowledgement (EDI 855) and the Purchase Order Change (EDI 860) documents under the "Order" node within the 'Order Status' timeline. If these documents exist, you can now be able to quickly access them by expanding the hyperlink under the "Order" node and clicking on the documents of interest.
  • Order Exception Filter Update. The Order List view now includes a new "Exceptions" filter option that enables users to quickly find orders that contain a "Late Receiving Advice" exception. Simply open Syncrofy to the Orders List view and select the "Late Receiving Advice" option under the Exception Rule filter. In order to see the exact rule appear on the list view, don't forget to add the Exception column as well.

 What's New?

General Syncrofy

  • Document ID Number Search. While you may recognize an EDI document type by its name, other may be more comfortable with its ID number. Now, it's no problem either way. Syncrofy now allows you to search a document by either format by going into the Documents tab and clicking on the document filter and accessing the search bar. You can then type the ID or the name to quickly find the documents of interest.

  • Introducing the Errors Number Counter! Many have requested the ability to filter for documents by the number of errors, and now you can! When you open the Documents tab, you can now use "Number of Errors" filter to quickly find the documents impacted. Additionally, you can also use this filter when creating dashboard views for reporting. As a reminder, document errors are provided through the functional acknowledgement (997) and application advice (824) documents.

Syncrofy for Supply Chain Only

  • Unit Mismatch Discrepancies. Syncrofy has added a new discrepancy checker when performing the 4-way checker between the purchase order, the advanced shipment notice, and the invoice called the "Unit Mismatch". If a unit mismatch discrepancy exists when you open an order, you will see a new hyperlink under the Shipment or Invoice Discrepancy widgets. These unit mismatches will also be highlighted with the alert icon in the tables within the Shipment and Invoice tabs on the impacted line items. Additionally, you can now filter for orders with unit mismatches in the Orders tab and you can filter for these mismatches when creating dashboards to improve monitoring, tacking, and reporting on order discrepancies.

Additionally, you can now create SLA and Value rules using the Transaction Type Code as a filter within the purchase order to ensure you are proactively notified if any issues come up.

  • Download Purchase Order Details. You can now download the contents of a purchase order into an Excel format so you can share with your internal teams and trading partners. To find this feature, simply search for a purchase order and once the details view is loaded, click the "Export to Excel" button in the top right-hand corner of the screen to download the details. This feature is also found on the invoice document details view.

  • Mass Reprocessing Permissions. The last few releases have focused on delivering self-service reprocessing capabilities. As part of this initiative, we now have provided admins the ability to permission individuals to "Reprocess Files" (only reprocess files on current list page view) or "Reprocess Full List of Documents" (reprocess all files across all pages of a list view). To access this, go to "Settings" under the "Groups" tab and turn on the "Reprocess Files" or "Reprocess Full List of Documents" permission for a group.

What's New?

General Syncrofy

  • Document Reprocessing - Part 1! We're always looking for ways to improve how we support documents by pulling and displaying data for you to utilize, Previously, updated views only displayed newly created documents leaving you with different views. Well, this is now a problem of the past as Syncrofy allows you to select multiple documents and reprocess them all at once to ensure they're all updated and include the latest and greatest views and information! In the Documents List tab, select the documents in the view you want to update and click on the "Reprocess" button. This will update them and ensure consistency across your documents details pages. Be on the lookout for more reprocessing upgrades coming soon!

  • Enhanced Shipment Discrepancies Scorecard! The shipment discrepancies scorecard in the Order Summary view has been enhanced to include a description of the type of shipment discrepancies (i.e., short-shipped, over-shipped). The updated scorecard also displays the number of impacted line items out of the total order line items and includes a link to display the impacted line items in the Order Information view.

  • Enhanced Quantity Discrepancies Display! If an order has a quantity discrepancy, you can now hover over the line-item discrepancy notification box to see a detailed discrepancy description summary pop-up. The pop-up will include the type of discrepancy and include the comparison of items ordered vs. shipped and determine if any of the product has been shipped or received at that point. This pop-up will also indicate if the line documents (e.g., PO, ASN, Invoice) include mixed units of measure.

  • Original vs Current Fill Rate Transparency. We recently released the ability to switch the Orders Summary view between the Original Order and the Current (Modified) Order view when a purchase order change occurred. Now, you can also switch in the "Order Information" tab to see impact to line items between the Original and Modified order. Additionally, in the Order Summary History timeline, when you expand the purchase order change details, you will see the change description to indicate if the line item decreased or increased in order quantity; making the P.O.C. impact much clearer for the user and reducing the need to open the document to see the details.

Syncrofy for Supply Chain Only

  • Discrepancies Monitoring and Reporting. Syncrofy now tracks when an order has line items with quantity discrepancies between the order, shipment, and invoice. What's New?

General Syncrofy

  • Continous Improvements! We're always looking for better ways to support EDI documents by displaying important information for end users and correlating data from associated documents. This week we've enhanced the Product Transfer Account Adjustments (EDI 844) and the Shipping Schedule (EDI 862) document details views. Check them out and let us know what you think!
  • Similar But Not The Same. The "Manually Acknowledge" button has been replaced with "Manually Accept" and has been added as a filter in the Documents List view. This makes the status of a document much clearer for those transactions where partners don't use the Functional Acknowledgement (EDI 997) or the Purchase Order Acknowledgement (EDI 855) to confirm the acceptance of an order. It also enables users to track and report on all documents that have been manually accepted.

Syncrofy for Supply Chain Only

  • As Clear As Day... The "Order Information" tab now distinguishes the line items ordered versus the line items shipped but not ordered in two separate tables. This makes it much easier to distinguish which items shipped but were not ordered without opening your shipments to see what items not ordered were delivered within each shipment.
  • It Ain't Over 'Till It's Over! You ever wanttedt o monitor or report on how long it took to finish shipping the goods in an order? Now you can with the new "Last Shipment Lead Time", which calculates the number of days between order date and the latest "most recent" shipment on the order. You can see this value as a column in the Orders List view, and filter using this field to see orders which have a particularly long (or short) Last Shipment Lead Time.
  • Fulfilled but Not Satisfied? If a supplier or customer changes the quantity of goods in an order, you may want to measure the fill rates based on what was originally ordered, not the changed order. If your order has changed since it was originally placed, Syncorfy now enables you to filter and view the "Original Fill Rates" in the Order List view as well as report on this when creating dashboards. This allows you to track your fill rates more accurately by comparing the original order versus a current (modified) order.

This includes one of our most requested features—three-way match between the quantity ordered, quantity shipped, and quantity invoiced. View all the invoices for an order in the handy new “Invoices” tab as well as key info like billing information, charges and allowances, and of course the details of the invoice. We’re thrilled to release this first look at invoice functionality and look forward to your feedback!

What's New?

General Syncrofy

  • Password Security Upgrades. We wanted to ensure you start the new year off on the right foot so we made it easier to create a more secure password. Now when you’re signing up for a new account and you haven’t chosen a secure enough password, Syncrofy will let you know exactly how to meet the requirements.

  • Shining a Light on Errors. If Syncrofy processes a Functional Acknowledgment (997) or an Application Advice (824) before the document they are responding to, any errors from those documents (824 and 997) will be added to the associated Document Detail Page when that document is processed. Before this, errors only appeared if they were processed after the document they were responding to.

Bug Fixes

  • This release also includes lots of other small improvements and bug fixes.

Syncrofy for Supply Chain Only

  • More Data = Endless Reporting Possibilities! We’ve exposed more data so you can get even more out of your reports. You can now build reports on orders and shipments based on their “Shipped” or “Received” status (this works via the Receiving Advice (861) or a data feed from your WMS—whichever you choose to send).

  • Create order or shipment-based reports based on the date(s) they were received or whether they’ve been invoiced—as well as view the list of invoice numbers alongside each order. We’ve also updated how we calculate the lead time for the first shipment in an order. For example, in your dashboard you can calculate the average first shipment lead time or display the distribution of orders based on the first shipment lead time.

What's New?

General Syncrofy

  • More Options Than Ever Before! You can now plot numerical fields on the x-axis of most dashboard widgets. For example, you can plot order lifecycles by lead time and days open or ASNs by number of orders (or vice versa)

Bug Fixes

  • This release also several small improvements and bug fixes.

Syncrofy for Supply Chain Only

  • Better Change Management. Your orders are as dynamic as your business. That’s why we’ve given you the ability to add, remove, and update portions of your order—enabling you to reflect what was communicated when the buyer sends a purchase order change document and when the seller acknowledges an order via a purchase order acknowledgement. Any modifications made in a POC or POA will immediately update calculations such as fill rate, so you’re always getting the most accurate view of the order.
  • Receiving Got an Upgrade. Syncrofy can now interpret Receiving Advice (861) documents in order lifecycles. That means if you use that document, Syncrofy will now mark a shipment as “received” and will call out any differences where the quantities don’t quite match up. Additionally, if you use the 861 as an “Acceptance Certificate” Syncrofy will also record the quantity accepted vs. received for even further insight.

What's New?

General Syncrofy

  • Trading Partner Management Is Even Easier. We updated how you manage and resolve unknown partners and organizations a few months ago to make the process more streamlined. With your feedback, we’ve added more info about the documents that use this identifier so you can make better-informed decisions when it comes to resolving the unknown identifier. You’ll now see important data like how many documents were sent/received using these identifiers and links to affected documents for easy navigation if more detail is required.

  • Can’t Stop, Won’t Stop Improving Dashboards! Importing a dashboard template just got a facelift and now includes a dedicated Import Template button and Create New dashboard buttons.

    • The template menu is also easier to use and includes search functionality so you can find the type template you need to answer your specific business question.

  • All of the Templates! We added templated views to the main Documents and Exceptions screens. You’re now able to search for, favorite, and quickly access these views on their respective list screens. The Documents screen includes:

    Documents with Errors
     – Get quick visibility into all of the errors reported by you or your trading partners via functional acknowledgements and application advice documents. Use this to judge a partner’s improvement over time or use it to debug and prevent future errors in your systems.

Rejected Purchase Orders - Last 90 Days – View all purchase orders that were rejected during the last 90 days so you know exactly what orders failed and can take steps to reorder or find new product to order elsewhere.

Last Week’s Unacknowledged Orders and Last Week’s Unacknowledged Invoices – Gain insight into all orders or invoices that have yet to be acknowledged so you can easily find the ones you need to follow-up on (acknowledged orders and paid invoices are a thing of beauty).

The Exceptions screen also has a new template for File Processing Exceptions that filters out only those exceptions. This filter is favorited by default so it will appear at the top of the screen for you automatically. Feel free to favorite or unfavorite any views you have saved for quick and easy access!

Syncrofy for Supply Chain Only

  • Gimmie Your Digits. We now include contact information from the original purchase order on the “Order Information” tab on the Order Detail Screen. This will let you know who to contact at your trading partner regarding the order. It’s just another way we’re putting critical information at your fingertips to make your life easier.

What's New?

  • Stay in the Know with Your Orders. Syncrofy now proactively notifies you when a shipment is late for an order. To set this up, simply head over to “Order Lifecycle Configurations” and customize what you consider to be an on-time shipment. For example, you can ensure that the shipped date comes before the requested ship date so you can stay on the same page with your trading partners and ensure your orders remain on-time.

  • Onboarding Just Got Easier! You can now download a list of all unidentified partner IDs as a CSV file. Fill out the missing information and re-upload all at once to quickly and efficiently resolve your unknown identifier exceptions.
  • More Dashboard Upgrades. Finding your favorite dashboard is now easier than ever. You can now search for your dashboards by name and save them as favorites to access them more easily. Additionally, we made counting things much simpler! If you just want to see the number of orders or documents, there’s no extra work required on your part as the dashboard will show it automatically.

Bug Fixes

  • This release also includes more than a dozen other bug fixes, performance, and interface improvements.

What's New?

  • Download All theThings! You've always been able to analyze your data in Syncrofy by cross filtering and drilling down on your dashboard. Now you can export the filtered underlying data as a .CSV to take into another application for further analysis.

  • Get Insights Faster Than Ever. Bar charts will now automatically show the label for the value of each bar if it will fit. If it doesn’t fit you can still see the value on hover.

  • Fill Rate Calcs Got an Upgrade. Behold! We've made some major improvements to Syncrofy’s ability to accurately calculate fill rates. Most notably, Syncrofy is now better at managing when one product is shipped in multiple boxes or pallets, respecting when transactions have been rejected and better at handling different units of measure.

Bug Fixes

  • This release includes some really nice performance improvements, general improvements, and bug fixes.

What's New?

  • Bulk Upload is Slimmed Down! Our bulk partner upload mechanism was simply too bulky for us and our users. So, we replaced the XML version of it with a much more user friendly CSV upload. Simply download and fill out the easy-to-use CSV template with trading partner information (name, business identifiers and even contacts you have for that company), then just upload the data and let Syncrofy do the rest!

Bug Fixes

  • As always, this release includes some small bug fixes as well to enhance your Syncrofy experience.

What's New?

  • Get Your Ship Together! Shipment reconciliation is headed to the Syncrofy for Supply Chain Beta! Everyone can agree that shipping can get messy and complicated at times. Let Syncrofy do the heavy lifting and inform you on the current state of your order and how it’s been shipped to date. Syncrofy now calculates important KPIs out-of-the-box such as fill rate, lead time, and alerting you about unexpected goods that were shipped, but not ordered.

    • But we’re not stopping there! Syncrofy will also now provide granular line item detail into the shipment compared to the original order. Easily spot quantity discrepancies with easy-to-read contextual data and fill rate calculated down to the individual line item.

    • And last, but certainly not least, you can take all this data and analyze it using Syncrofy’s existing dashboarding and reporting capabilities. Create a data visualization in just a few clicks to see things like "Average Fill Rate by Business Partner” or "Open Orders Last 30 Days.”

What's New?

  • We’ve Expanded ASN Support. It’s more robust as we’ve improved how we display tares/pallets, packs/boxes, and items. They’re all arranged hierarchically, no matter the hierarchy in the ASN—and if you've had problems in the past using the ASN for reconciliation, those problems should be resolved. If you haven’t used the ASN in Syncrofy for reconciliation, now would be a great time to start!

    • We’re also including the Bill of Lading, Carrier’s Reference Number, and Tracking Number on the ASN. You’ll be able to view these values in all of your ASN document list views—making it easier to export a list of shipments with their tracking IDs.

  • Trading Partner Management Got a Major Upgrade! Do you add new trading partners regularly? If so, you may have found it a little tedious to set them up in Syncrofy. For every document with identifiers Syncrofy doesn’t recognize, you are alerted of a Missing Partner Exception. This list can quickly become overwhelming. However, the good news is we’ve completely redesigned this process from the ground up! Click here to read the help article and learn more.

What's New?

  • Easily Update Partner Names. Ever add a new business partner and mistype their name? Or maybe your business partner merged with another company or rebranded, and you still see them in Syncrofy under their old name. This used to be a complicated fix—but now it’s as easy as going to the partner’s page, clicking the Edit icon next to the partner’s name, and updating the name. That change will be reflected on all documents for that partner in search, document list views, and dashboards. Remember, if the partner has a lot of documents, give it a few minutes to update.
  • More Ways to See Errors. We’ve made some major upgrades to how Syncrofy displays EDI errors. If a document has a Functional Acknowledgment (997) or Application Advice (824) with errors, they will now display on the original Purchase Order, Invoice, Advance Ship Notice, etc. You’ll also be able to view these errors in the Document List Views, by choosing the filter “Has Errors,” selecting “True,”and adding the column “Error Summary. We’ll be soon enhancing the CSV download so you can easily perform additional analysis on errors (type, frequency, segments, etc.).

    • Note: If you don’t see this new error functionality, let us know—it requires a Local Agent update on your end and a quick configuration change on ours.
  • Even More Exceptional. We improved our exception popovers so now you can assign exceptions and resolve them with one click, rather than having to open another menu.

Bug Fixes

  • As always, this release includes some small bug fixes as well to enhance your Syncrofy experience.

What's New?

  • An Easier Way to Find Document Lists. You can now search by the name of the document list view, or favorite up to three lists! They’ll then appear at the top of the Documents list page so you can get to them with one click.

  • Wondering Who to Contact When an Order Has a Problem? That information may be in the PER segment in the document, but you couldn’t see it in Syncrofy. Well, now you can! Look in the Addresses and Points of Contact section. Syncrofy displays all of the contacts included in the EDI. You’ll have to update your Local Agent to see this new information.

  • Dashboards—Line Charts with Splits. If you’ve tried to create a line chart comparing last year’s data to this year’s data, or split by trading partner and limit it to just your top five partners, you may have seen some strange results. That won’t happen anymore! You can limit the number of lines in your chart, and everything will look great!

Bug Fixes

  • Lots of other small but important bug fixes, including continued migration to our new messaging service.

What's New?

  • Getting Strict with Correlations. Business partners in Syncrofy allow us to group all of the documents for a single partner together, regardless of what identifiers each document uses. For example, if both identifiers “ZZ/ABC/ABC” and “ZZ/123/123” belonged to trading partner “Acme” then all documents with those identifiers will be labeled as “Acme.” Taking it a step further, Syncrofy will also correlate purchase orders with invoices or functional acknowledgments even if the IDs do not match. Most of the time it’s peachy but sometimes users may want greater control—which is where strict ID checking comes in.

You can now tell Syncrofy to only correlate documents when the IDs match exactly (either globally for all identifiers or specifically for certain partners). This means that both “ZZ/ABC/ABC” and “ZZ/123/123” will be labeled as “Acme.” However, a purchase order for “ZZ/ABC/ABC” and an invoice for “ZZ/123/123” will no longer show up on the same timeline. To learn more about this new advanced setting check out the Help article
  • We Organized Organizations. It was time for some spring cleaning so we reorganized the old “Company Profile” section of the Settings page and renamed it “Organizations” to better reflect the purpose of that page.

Bug Fixes

  • Lots of other small bug fixes and improvements to keep everything running smoothly.

What's New?

  • Must Go Faster! Increased loading performance of Document Detail Screens by 10 times.

Bug Fixes

  • Lots of other small but important bug fixes.

What's New?

  • Extreme Makeover: Tables Edition! Tables throughout Syncrofy have been given an overhaul. The same treatment we gave tables in Documents, Files, and Exceptions a few months ago has been applied to the rest. This includes columns that auto size to the content, sticky headers, and other nice features to enhance the readability and usability of Syncrofy. This is just the first pass with more refinements in the coming weeks!

Bug Fixes

  • Fixed: Syncrofy now supports underscores in business identifiers. Previously, Syncrofy would choke when it came across these IDs, but as you’d expect, we’ve taught our flagship software some new tricks to effectively handle these IDs.
  • Fixed: We had an issue where two related documents that were processed at nearly the exact same time would not properly correlate to each other. To prevent this, correlated documents will now be processed sequentially to avoid this annoying race condition.
  • A few other bug fixes and improvements.

2020-01-07

What's New?

  • Excelsior-er! Check out the new fixes to the Excel download for invoices, specifically around separating some fields to make printing easier!
  • So fresh and so clean. We gave a general polish to and cleaned up a few UI components that were starting to show their age to make them look clean, fresh, and modern. Cleaned up radio buttons, toggles, cards, and modals as well as made a minor visual tweak to the Settings page. While we were at it, we also fixed a number of other UI issues including some annoying ones such as certain 852s failing to load, menus rendering in a weird order, and some dashboard rendering issues.
  • As always, we also made some additional bug fixes and improvements to enhance your experience.

Local Agent Update

  • Did you think referencing purchase orders in the Planning Schedule (X12 830) or the Receiving Advice (X12 861) should be available in Syncrofy? We agree! We are now exposing the PO number on both those documents, correlating them in the Timeline and making them available in Search! Note: This functionality requires Local Agent v5.22.0 or later.

2019-12-19

What's New?

  • Excel-sior! Do you enjoy tinkering with data in Excel or somewhere else? Want to print and any format will do? Do you want to do those things with invoices from Syncrofy? Have we got good news for you! Download invoices from the Document Detail Screen as an Excel file and tinker away!
  • "Bad” local agent no more. The Syncrofy Local Agent will no longer misbehave if MongoDB goes down for some reason—like an SSL certificate expiring. It will wait patiently for Mongo to return and gracefully recover where it left off.
  • Filter criteria’s usability facelift. We’ve made filtering way easier! Previously, you had to click outside the box to apply a filter. That would cause you to occasionally click on somewhere and be whisked off to another page before you knew what happened (nobody was a fan). Now, simply click an OK button and go about your business as you intended.
  • Resolving missing partner exceptions more efficient! We’ll no longer brute force reprocess all files containing these IDs. Now we’ll find only the existing documents, timelines, and indices we need to update and put far less burden on the system when processing large batches of missing partner exceptions. You’ll notice some speed improvements and our servers will be much happier.

Bug Fixes

  • Fixed: Syncrofy was a bit aggressive when it came to acknowledging documents with 997s across organizations. This meant that a 997 from one organization could acknowledge a PO from another (not cool). We will now only consider documents from the same organization when correlating functional acknowledgements.
  • Fixed: Added a safety check to make sure widgets with split fields configured won’t crash the dashboard if they’re not completely configured.
  • Fixed: GS identifiers with spaces in them were preventing our customers from resolving missing partner exceptions created by these. We fixed that by making documents with spaces in their GS IDs create file processing exceptions instead.
  • We made some other small but mighty stability fixes and system improvements.
