Orders Overview
Orders provide full, real-time visibility into the lifecycle of an order and allows you to view changes to those orders, prioritize challenges and identify trends with your suppliers and customers.
• View the full lifecycle of an order, from purchase Order to shipment to payment
• Calculate fill rate and lead time for orders and shipments, in total and for each line item
• Reconcile invoices against purchase orders, shipment documentation and receipts to identify discrepancies
• Analyze trends to compare suppliers and customers on key metrics
Order Summary Page
The Order Summary Page shows you the status of an Order, including:
• Trading Partner, Order Amount, and Order Date
• First Shipment Fill Rate and Current Fill Rate
• Shipment Discrepancies
• Invoice Discrepancies
• Order Status
• Exceptions
• Order History
• Comments
Navigating Between Documents and Orders
From the Order Summary Page under “Order Status” you can view individual documents within an Order.
Likewise, from the Document Details Page you can view “Order Summary” to navigate to the Order view.
Understanding the Shipment Node of the Order Timeline
The Shipment Node will tell you the status of your Shipment for an Order.
The nodes that appear on the Order Status Timeline are based on your Order Life Cycle Configurations.
Shipment Node Statuses
The Order Information Tab shows line items of the Order as well as additional Order details, including:
• Internal Vendor Number
• Important Order Dates (Requested Delivery, Cancel After, Shipped, etc.)
• Invoice Number
• Contacts and Locations
• Line-Item Details
o Product Identifier(s)
o Price
o Quantity
o Fill Rate
o Discrepancy Filter
Shipments
The Shipments Page shows all shipments included in an Order, including:
• What’s Inside the Shipment
o Pallets
o Boxes
o Items
• Bill of Lading and Carrier Number
• Delivery Appointment Information from the ASN
• Fill Rate for each shipment:
o By Quantity
o By Line Item
Invoices
The Invoices Page shows all invoices included in an Order, including:
• Invoice Number
• Billing Address
• Invoice Discrepancies
o Under Charged Line Items
o Over Charged Line Items
o Invoice Unit Mismatch Line Items
• Invoice Exceptions
Orders List Views
Order List Views enable you to create custom reports using Orders data. Order List Views enable you to report on data at the Order level, as opposed to Document List Views which enable you to report on data at the Document level.
You can report on many filters, including:
• Inbound and Outbound Orders
• Appointment, Ship and Delivery Dates
• Days Open and Lead Time
• First Shipment and Current Fill Rate
• Product Identifiers
• Quantity Discrepancies and Invoice Discrepancies
• Order Status
Filtering By Order Type
1. Click the "Order Type" dropdown in the upper left-hand corner of the main Orders screen.
2. Click the type of order you wish you view (All Orders, Inbound Orders, Outbound Orders).
3. All instances of the order type you selected will now appear on screen.
Creating a New View
1. Click the "Add filter criteria" dropdown to the right of the "Order Type" dropdown.
2. Select the criteria you wish to sort by (i.e. Order Amount, Status, Type, etc.).
3. Enter or select the required information. For example, if you select "Status" you will be required to select a specific status (e.g. Cancelled, Completed, In Progress, etc.).
4. Click the Apply button to save your changes.
Grouping Your Orders
Group By allows you to organize your orders by several different criteria.
To group your orders:
1. Click the Group By button on the right side of the main Orders screen.
2. Then, click on the criteria in the dropdown menu you wish to apply.
The orders will then be sorted appropriately based on your selection.
Shipments
Shipments allows for one place to monitor all Shipments from all Orders and generate reports based on individual Shipment level performance.
Each Order can have multiple Shipments, so the Shipments tab allow you to “unwrap” those shipments from each other. Likewise, a Shipment might contain product from multiple Orders.
Use Shipments to:
• See what is in each Shipment
• See when a Shipment is expected to arrive
Note: Today Shipments are not clickable.
